Duties:

The Executive Assistant serves their Executive group in Amobee’s Commercial organization and acts as the liaison to their senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be proactive, creative and enjoy working within an environment that is mission-driven, results driven, and community-oriented. The ideal individual will have the ability to exercise good judgement in a variety of situations, with a strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects; from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities

  • Executive Support: Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the Executives’ schedule is followed and respected.
  • Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executive’s time and office.
  • Provides a bridge for smooth communication between the Executive’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the Executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Stays one step ahead, anticipating upcoming needs and proactively handling them, creating a seamless experience for the Executive.
  • Acts as a "barometer," having a sense for the issues taking place in the environment.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special business projects for the Executive, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Edits and completes first drafts for written communications to external stakeholders.
  • Acts as a liaison for the Executive’s direct reports.
  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending some meetings and taking minutes, as needed.
  • Assists in coordinating the agenda, and sometimes drives, senior management team meetings, off-sites, and all-hands meetings.
  • Participates in planning external client events and executive offsite.
  • Proactively coordinates and engages with leadership in planning and organizing events, activities, and calendars.
  • Is available for high priority needs and last-minute changes; accommodating off-hour requests and time zone needs for Amobee’s Global Executives and teams.
  • Tracks and helps drive the completion of key deliverables; follows up on outstanding items.
  • Quickly develops an understanding of the team’s operations, culture, policies and procedures.
